SYSTEM STRUCTURE
Companies / Sub Companies
Fully scalable system that can grow in any direction.

Type 1: Subordinate / Vertical

Type 1 is multi-level based
Where “Office 1-3” are sub companies to “Head Office” and Equal to each other.

This functionality allows company’s to mange multiple offices in different locations/Jurisdictions, where different arrangements are met.
Example: Dedicated locators Zones.
This structure also allows sub contractors to be managed, where the higher you stay the more you see and the lower you are the less you see.
Type 2 gives equal rights to the friend companies.
Combinations of the 2 can also be done.
HUMAN RESOURCE
Users
Users are also defined with separate roles. Roles are created within the system and separate rules can be added to each role.

Teаms
Users can be combined into teams, where term can be either 1 or N count. This functionality is used widely when payroll is calculated. System automatically split earnings from completed task if done by more than 1 worker.
Tasks can only be assigned to teams not users. When assigned system split earnings equally in between workers.
Multi-factor user authentication.




TICKETS
Set up receiving email in settings.
System need to be set to be able to receive and send emails and notifications. Under Settings and email is where need to be entered the receiving email data.

Create the tickets in One Call Web Portal
Ones the ticket is created, One call will send email to UIO and selected dedicator locator. System will collect the information from the received email and will create the ticket in “Tickets dashboard”. Some utilities may come cleared under ALA agreement. Those files will be attached in Ticket Documents folder.

Ticket is created and posted on

Ticket progress bar shows number of utilities in selected area and complete status either on ALA or Real Locates.

​Ticket status is marked as completed when all utilities in area are cleared.

Notification email is sent with locate sheets, pictures and closing sheet attached.

LOCATES
Drawing Tools

Built-in-Drawing tools compatible with mobile, tablet or laptop allows the Locator to finish all locates on site in real time.

Ones the drawings are completed PDF is created and added to closing sheet.

Built in “Task Code System”can allow to create a billingsheet for the completed locate task and record it in “Account receivable dashboard”

Built in “Warehouse and Materials module” allows materials to be added to the task.

TASKS
Locates Task (Locates) Creation
System will use the information from the received email and together with the ticket will create locate tasks. The number of Locates created will depend on how many full locates are required.
Assign Locate Tasks (Locates)
After been created the locate tasks can be assigned to field tech to be completed.

Worker Profile
Mobile view of dashboard helps techs navigate through work orders on mobile device/tablet.

Digital Mapping
During active locate, GPS button is available to locator to collect GPS way points. When is used can collect GPS way points and create digital locate and place it on map. This information later can be available in Map section in completed locate.

Under development: Bluetooth AND RTK connection to allows the app to connect with selected locate equipment and improve up to Sm locate accuracy.

PROJECTS
Locate added to Projects
Locates can be combined into a project where large area is located that require more visits.
Project Page

Project page can display the holders with its progress and status. It gets auto update when the assignment tasks gets completed.

ASSETS
Fleet Module
Fleet module is designed to keep track of vehicles assigned to Dedicated Locators, without the extra cost of additional GPS devices attached.

Map of Vehicle Location

Map of vehicle location, can show real time vehicle location by tracking the driver’s cell phone. No additional GPS equipment is required.

History of vehicle events show all related activities: Route start, gas fill up, odometer changes, repairs, location, leaving set boundaries and other.

Track On-Site Expenses

Expenses made by drivers can be registered under the assigned to that driver vehicle. This may include gas, oil change, maintenance or repairs.

Managing materials and equipment used on assigned task.


Placing Orders
(Equipment or Materials)
​​Field techs can place orders trough system for materials and equipment. Order is registered and sent to warehouse. Materials are prepared and transferred to tech possession when received.
Orders Dashboard
Orders Dashboard - gives ability to admin to track , approve, disapprove, or modify requested materials or equipment.

Worker now can add materials on the go for every completed task and those can be counted when creating the client invoice.

FINANCES

Reports, Account receivables, Account payables, Expenses, task codes

Account Receivable
Data is collected for all completed billable task. Invoice is created either as per individual completion or as a bulk completions where one invoice is issued per client for the number of task closed for that day.​

Account Payable
Account payable dashboard record the outgoing payments. Subcontractors invoices may be auto registered registered here. Utility owner portal records
here all invoices submitted for billing by DL tasks. (Automated)
Expenses
Add, modify, track, delete PO, managed by different statuses. Notifications added.

Payroll
System can create payroll for individual user where calculating taxes and creates paystubs.
